3544 - County School Vehicles - Procedure
Use of Fleet Vehicles
Any SBCSS employee requesting to operate a Fleet Vehicle based on the criteria stated above must agree to the following:
- Show proof that he/she is:
- An SBCSS employee 18 years of age or older;
- In possession of a valid Department of Motor Vehicles (DMV) driver’s license;
- In possession of personal automobile insurance at the levels required by SBCSS;
- Employee must be on the Approved Driver List through Risk Management Services, Business Services.
- Remove all materials, including litter, at the conclusion of their trip
- Report problems to Facilities Management staff at the conclusion of their trip
- Record beginning and ending mileage, purpose of trip, and department on the mileage sheet located in the vehicle
Facilities Management shall be responsible to:
- Ensure that vehicles are in good working order with appropriate levels of fluids prior to check out;
- Schedule routine service and maintenance; and
- Ensure vehicle interiors and exteriors are clean.
There are three (3) types of SBCSS vehicles:
- Fleet – Based on availability, these vehicles may be checked out for official business use in the following circumstances:
- there are two (2) or more occupants per vehicle; or
- when traveling greater than 35 miles; or
- when transporting excess conference or workshop materials.
- Maintenance, Operations, and Warehouse Delivery– These vehicles are for use by the Maintenance and Operations and Warehouse staffs for express mail service, performance of classroom and administrative site maintenance; and delivery duties. All Maintenance and Operations and Warehouse Delivery vehicles will be equipped with Global Positioning Systems.
- Department-assigned vehicles – Under special circumstances a limited number of vehicles are purchased for use by single departments. The request to purchase a department-assigned vehicle must be approved by the Assistant Superintendent, Business Services Division.
Maintenance and Operations and Warehouse Delivery Vehicles
The Maintenance and Operations and Warehouse Delivery staffs will assume responsibility for all routine service. Drivers should perform a safety check daily including fuel and oil level, tire pressure and condition, windshield wiper condition and ensure the availability of chains if mountain driving. Any problems should be reported to the appropriate supervisor for required maintenance.
Department-assigned Vehicles
Departments receiving approval to purchase and operate department-assigned vehicles are responsible for the fuel, maintenance, repair, and replacement costs. Maintenance and repair of department-assigned vehicles will be coordinated through Facilities Management. Replacement of vehicles must be through the Purchasing/Contracts Department.
